As the Accounting Coordinator you will play a vital role in supporting the daily operations of the Accounting Department. This position is responsible for managing communication channels, coordinating schedules and meetings, maintaining filing systems, and ensuring seamless vendor and office management processes. The Accounting Coordinator also assists with accounts payable activities, travel arrangements, and compliance-related tasks such as Certificates of Insurance (COI) tracking and license renewals. With a focus on organization, attention to detail, and excellent communication, the Accounting Coordinator ensures the department operates efficiently and supports the overall financial and operational goals of the company.
Key Responsibilities:
- Manage and triage incoming emails via the accounting email address.
- Answer and direct phone calls for the Accounting Department.
- Open, date stamp, and distribute incoming mail, FedEx, and UPS deliveries according to guidelines.
- Maintain an organized electronic and paper filing system for the department.
- Manage the Accounting Department calendar and coordinate meetings.
- Assist with employee travel arrangements, including booking flights, hotels, and conferences, and managing per diem requests per company policy.
- Coordinate signatures and notary services as needed.
- Organize office equipment service calls and building maintenance requests.
- Assist with vendor onboarding and maintain the authorized buyers list.
- Track and maintain Certificates of Insurance (COI) for Alpha and subcontractors.
- Support license renewal coordination and ensure compliance with relevant deadlines.
- Prep, mail, and file checks from Accounts Payable (A/P) check runs.
- Respond to vendor inquiries regarding payment statuses.
- Scan paper A/P invoices into automation software and route them appropriately.
- Serve as Petty Cash Manager, ensuring accurate records and usage.
- Order and manage office supplies, including those for office equipment, and maintain neat and well-stocked office areas.
- Assist with managing building management vendors for the headquarters office.
- Support departmental initiatives and handle other duties as assigned
Qualifications:
- High school diploma or equivalent
- Previous experience in administrative or accounting support roles
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Exceptional organizational and multitasking skills
- Strong attention to detail and a proactive approach to problem-solving
- Excellent written and verbal communication skills
Compensation: $22-$27 per hour based on experience.
